History and internal note fulfill different roles. The history shows what happened; the note highlights what the team needs to know to take action. Using each resource with intention reduces redundant records.
Use history as a timeline
Messages and changes to contact data form the sequence of the relationship. Consult this timeline to understand previous interactions and avoid asking for something already informed again.
History must remain true to events. It does not replace a current interpretation of what needs to be done.
Use the note to guide the next action
An internal note summarizes context that is not evident or records a team decision. Differentiate confirmed information, hypothesis and dependence.
- Internal guidance and relevant reason.
- Return with identified person responsible.
- Restriction required for next contact.
- External reference when another product concentrates the execution.
Avoid duplication and unnecessary data
Don't copy entire blocks of conversation into a note. Prefer a short summary and point out the related record. Also do not include personal data without operational necessity.
When an issue is resolved, record the outcome so that the decision remains understandable.
Adopt a simple writing pattern
A repeatable structure helps: confirmed fact, impact on service and next action. This way, someone else understands the situation and knows what to do.
